Getting started
How do I get an account?
Accounts are by invitation. Your organization's administrator invites you by email; open the link, set a password, and you're in, with the role they chose. If your invitation has expired (they last 14 days), ask for a new one.
What can each role do?
- Admin: everything, including deciding who has which role.
- Board member: everything except assigning roles.
- Coach: the coach portal: your own teams, lineups and the coaching library.
Can I try it first?
Yes. The demo opens a sample club as an administrator or a coach, with a short tour. It resets every day, so feel free to change anything.
For administrators
How do I bring in our players and coaches?
Use Import/Export in the admin menu. Upload a CSV or Excel file (.xlsx), match each of our fields to a column in your file, then check the preview before importing. Teams are created from a Team column as needed. When a person is already in Playbook Room you choose whether to skip or update them.
How do I put coaches on teams?
Open a team and use its coaching staff panel to add a coach and set their roles: head coach, assistant coach, goalie coach and team manager. A coach can be both a head coach and a team manager.
How do I give a coach access to their teams?
In Coach Management, choose Invite Coaches, pick the coaches and send. When a coach accepts, their login is linked to their coach record and their teams appear in the coach portal.
We imported the same coach twice. How do I fix it?
Duplicate Coaches under Coach Management lists records that look like the same person. Merging keeps one record and moves the team history and requirements onto it. If two records really are different people, mark them so and they won't be suggested again.
How do I track background checks and training?
Coach Requirements shows each coach's season checklist. Click a cell to move it from needed to done to not required.
A coach has left. Should I delete them?
Deactivate them instead. Coaches who have coached are kept so past rosters stay complete; only a record with no team history can be deleted.
For coaches
Where are my teams?
My Teams in the coach portal shows this season's teams you're on. If it says you're unassigned, your administrator hasn't put you on a team yet.
How do I set jersey numbers and shooting hands?
Open your team's roster. Type a jersey number, or click L or R, for each player; it saves as you go.
How do I make a game lineup?
From your team, open Game Lineups and add a game. Drag players onto lines and pairs, or on a phone tap a player and then a spot. Add an alternate lineup for "if someone is out", and print the sheet for the bench. After the game, write your own post-game notes on the games list.
Drills, plans and videos
What's the difference between the organization list and my page?
The Organization list is the club's shared library. My drills, plans and videos are your own page: private until you share it in your settings with all coaches or the coaches you pick. Coaches who share with you appear under Coaches sharing with you.
How do I share videos with my players' families?
Your video page has a separate list for parents and players. In My Video Settings, turn on the public page and set a password, then send your team the link and password. Use Parent & Player Preview to see what they'll see. Families don't need an account.
Which videos can I add?
Paste a YouTube or Vimeo link. Videos are linked, not uploaded.
How do I change the order?
Choose Arrange, drag items into place and save. The top of the list shows first.
Your account
I forgot my password.
Choose Forgot your password? on the login page and we'll email you a reset link.
How do I control notifications?
Open Notifications, then preferences, and choose email, text or neither for each kind. Text messages stay off until you add a phone number and turn them on.
I belong to more than one organization.
Switch between them with the organization menu at the top of the admin portal. Each organization keeps its own teams, people and library.
Still stuck?
Ask your organization's administrator, or contact us. Include the page you were on and what you expected to happen, and we'll get back to you.
